Privacy notice
Moolmes collects as little personal information as it can, holds it only for as long as it is needed, and never sells or shares it for marketing. This notice sets out the detail.
In short
Moolmes does not require an account, does not run advertising, and does not sell or share personal information. We collect the minimum needed to answer enquiries and to keep the site working. Display settings you choose stay in your own browser.
This notice explains what personal information the library collects, why, how long it is kept, and what rights you have. It applies to moolmes.club and to enquiries handled by the reference desk. It is written to reflect the requirements of Canadian federal privacy law and the applicable provincial legislation in Manitoba.

We do not collect special categories of personal information, and we ask you not to send them. If your enquiry concerns a health, legal or financial matter, describe the question in general terms rather than sending documents.
How we use it
Personal information is used only for the purpose it was given for. Specifically, we use it to reply to enquiries, to organise programme attendance, to review submitted material, to maintain the security and availability of the site, and to comply with legal obligations.
We do not use personal information for advertising, profiling or automated decision-making. We do not build reader profiles, and we do not track reading behaviour across the catalogue. We do not sell, rent or trade personal information under any circumstances.
Our basis for holding it
For most information the basis is consent: you write to us, and we hold what you wrote in order to reply. You may withdraw consent at any time, and we will delete the correspondence unless we are required to keep it. For a small amount of information the basis is legitimate interest — keeping server logs to identify attacks and faults — or a legal obligation, such as records connected with grant funding.
How long we keep it
- Enquiry correspondence: 24 months from the last message, then deleted.
- Correction reports: the substance is recorded in the entry's revision note without your personal information; the correspondence itself is deleted after 24 months.
- Programme registration: deleted 90 days after the programme ends, except where you have asked to be told about the next intake.
- Submissions: kept for as long as the material is in the catalogue, so that we can record authorship and consult you about revisions.
- Server logs: 30 days.
Third-party content
The contact page embeds a map supplied by Google Maps. When that page loads, your browser contacts Google and Google may set cookies or receive your network address under its own privacy terms, which we do not control. No other third-party content is embedded anywhere in the catalogue: there are no advertising networks, no social media widgets, no comment systems, and no analytics scripts that identify individuals.
Fonts are loaded from Google Fonts. If you would prefer no third-party requests at all, most browsers can block them, and the site remains fully readable with its fallback typefaces.
Your rights
You may ask us to tell you what personal information we hold about you, to correct it if it is wrong, or to delete it. You may withdraw consent to further contact at any time. You may also ask how a decision about your information was made, and complain if you are not satisfied with the answer.
Write to info@moolmes.club with “privacy request” in the first line. We reply within two business days and complete most requests within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada or to the Manitoba Ombudsman.
Security
The site is served over an encrypted connection. Enquiry correspondence is held in mailboxes protected by multi-factor authentication and accessible only to desk staff. Paper records taken at clinics and sessions are held in a locked cabinet in the office and destroyed on the retention schedule above. We review access rights each quarter and after any change of staff.
Material for young people
Some material in the catalogue is used in schools. We do not knowingly collect personal information from anyone under 16. If a young person writes to the desk, we answer the question and delete the correspondence once it is resolved. Where a school runs a programme with us, registration is handled by the school and we receive only the information needed to prepare materials.
Changes to this notice
Substantive changes are announced on this page for 60 days, with a short description of what changed and when. Minor corrections are made without notice. The date at the top of this page always shows the current version.
